The Ease of Onboarding with Bestpass: 3 Simple Steps

Tolling can be a difficult process that takes hours of time for fleets. And with high demand for truckers to deliver goods across the country, it is important to prioritize running your fleet or driving your truck. If you find yourself spending more hours than you would like managing toll, it may be time to outsource your toll management. But where? When you think of onboarding a new solution, you probably think it will be time-consuming and tedious, but with Bestpass, that’s not the case. Onboarding with Bestpass is a simple process that begins even before you sign up. Depending on the size of your fleet, your onboarding can take 2-5 days if you are an owner-operator or 30-90+ if you have thousands of transponders, as we recommend adding transponders in phases. Still, we help guide you to the best rollout strategy for your fleet. During the sales process, our tolling specialists will let you know what you need to have smooth onboarding so that you can see if you already have those items on hand. Here are the three steps we take after you decide to sign up:

1. Welcome to Bestpass!

After you sign on the dotted line for Bestpass, we make sure it’s a seamless process starting with a welcome email introducing you to your onboarding specialist. If you are an owner-operator, this process is even easier. You can order your device(s) online and then you’ll receive a welcome email and confirmation. You won’t need an onboarding specialist. For fleets during onboarding, your onboarding specialist will ensure your account is set up for all your tolling needs, along with giving you access to the online portal. They will be available to answer any questions you may have. Our customer service team is also available during onboarding for any billing-related questions. During this first step, all you need to provide is a payment method, a list of your vehicles/equipment, and the license plates of your vehicles. This is all the upfront work we need from you to set up your account. Once we have this information, we make sure that all your plates are on file with the tolling authorities and set up your fleet in the Bestpass portal.   

2. Account Activated

After your onboarding specialist gets your account set up, you will receive a confirmation email that includes your account number and confirms the information placed on your account. The email will also share our monthly webinars that we host to help fleets and owner-operators get started with Bestpass. For new customers, our portal overview webinar is a great way to learn the ropes and get the most out of your Bestpass service. We walk through how to use the Bestpass portal to get insights on your tolling usage by vehicle, pull reports, and make changes to your account. We always have our customer service team on hand to answer your questions or help you. We host monthly webinars if you ever have a new person join your team or if you need a refresher.

3. Ready to Save

Finally, we confirm the shipment of your transponders. Whether you have 3 or 3,000 transponders, your onboarding coordinator helps you plan out the shipments of transponders so that you receive them where and when you want to. If your truck is always on the road, we can ship a transponder to its next destination. We include installation instructions with every package, which take less than 5 minutes to install. Once you receive your new transponders, the last step for you is to cancel your current tolling accounts with the tolling authority. This may take a bit, but it is a key step to moving to your new account. If you don’t have a transponder in your vehicle(s) already, you don’t have to worry, as your license plate information will be on file, and you will be able to save with toll-by-plate while you wait for your transponder(s). During this time, you will likely not incur a violation for not having a transponder. If you add bypass to your service, you will receive an email detailing how to set it up.
